The Certification module integrates with the Events module by allowing you to tie the continuing education units (CEUs) awarded in your events to certification components. After you update attendance for the event function and close the event, iMIS creates certification component records for the linked events.
The first step in this process is to create a link between the component courses and an event. For example, a student earns CEUs by attending an event function. To process component registrations through the Events module, you must do the following:
1. Create an event function for one of the program components.
2. Create links between components and event functions.
3. Process an event function registration.
4. Update attendance.
5. Close the event. Students do not get CEU credits until after the event is closed.
To link a CEU component with an event function
1. From Events, select Define an event to open the Define an event window. This window displays a list of the events that have been defined.
2. Double-click the appropriate event. The Define an event window (detailed) opens.
3. Click More and select CEU to display the Event Function Definition - CEU window.
4. Click Edit.
5. Enter the component code in the CEU Type field or click the lookup icon to display the Select a Value window to select from a list of all components.
6. Enter the number of units of credit for this component in the Hours/Points field.
7. Click Save.
To update attendance in Events
1. From Events, select Define an event to open the Define an event window.
2. Double-click an event to open it in the Define an event window.
3. Select an event function, and click Edit next to the list of functions to open the Event Function Detail window.
4. Click Cancel.
5. Click More, and select CEU to open the Event Function Definition - CEU window.
6. Click Update Attendance to open the Function Attendance window.
7. Mark the registrants as attended. You have two options:
□ Click Mark All Attended to select all the registrants, click Yes, and then double-click the registrants who did not attend the function to mark them as absent.
□ Double-click each registrant individually to mark them as attended.
8. If you make mistakes or lose track of your changes, return all individuals to the unmarked status:
□ Click Mark All Absent.
□ Click Yes.
□ Start over with the attendance marking.
To close the event and generate CEU activity records
After you update attendance, close the event. By closing the event, you create certification component registrations for each of the registrants who attended a function that you linked to Certification. These registrations are marked Passed.
1. From Events, select Define an event to open the Define an event window.
2. Double-click the event.
3. Click More and select Close Current Meeting from the list of options.
A message informs you that the meeting has registrants and asks if you want to close the meeting and create Activity Records.
4. Click Yes. A message is displayed asking you confirm that you want to close the event.
5. Click Yes. Another message is displayed informing you that closing the current event will remove all event details and create history.
6. Click Yes. The event is closed. iMIS generates MEETING activity records for each of the event registrants as well as CEU activities for those registrants with a CEU function.
To view component registrations
1. From Certification, select Register a student> By component to open the Register a student by component window.
2. Click Open.
3. Enter a customer ID in the Registrant field. The record is displayed.
4. Select a component in the display area of the window. Information about that component is displayed in the top half of the window.
Note: Event functions and CEU components must be linked manually. See To link a CEU component with an event function.
To view CEU activity records after closing an event
After you close an event, you can view the CEU activity records on the Activity window.
1. From Customers, select Manage customers to open the Manage customers window.
2. Click Find and enter a customer ID in the Equals field. The customer record is displayed.
3. Select the Activities-All tab.
4. Double-click the CEU activity to open the Activity Detail window.
